Privacy Policy
How School MS collects, uses, shares and protects personal data – and the rights you have.
Last updated: 13 October 2026
1. Who we are
School MS (“School MS”, “we”, “us”) is school management software provided by Wings of Business, Kukatpally, Hyderabad, Telangana, India, through the website schoolms.one, the School MS web application and the School MS mobile app (together, the “Service”).
This policy explains what personal data we collect, why, how we protect it and the choices you have. It is written to meet the Information Technology Act, 2000 and its rules, and the Digital Personal Data Protection Act, 2023 (“DPDP Act”).
2. Schools and School MS – who decides
Schools that subscribe to School MS (our “Customers”) decide what information about their students, parents and staff is entered into the Service and how it is used. For that information the school is the Data Fiduciary and School MS processes it on the school's behalf and on its instructions as a Data Processor.
If you are a parent, student or staff member and have a question about your data in a school's account, please contact your school first. We will help the school answer your request.
For information we collect for our own purposes – website visitors, demo requests and our Customers' account administrators – School MS is the Data Fiduciary.
3. Information we collect
From website visitors and demo requests: your name, school name, mobile number, email, city, number of students and any message you send us; basic technical data such as browser type and pages visited.
Entered by schools into the Service (processed on the school's behalf), which may include:
- Students: name, admission and roll number, class, date of birth, gender, photo, Aadhaar number, blood group, address, documents, attendance, marks and results, fee plan and payments, transport and hostel details;
- Parents and guardians: name, relation, mobile number, email, occupation, address and messages exchanged with the school;
- Staff: name, designation, contact details, attendance, payroll and documents.
When you use the apps: sign-in details, device and notification tokens, and – for drivers during a trip – the bus's live location so that parents and the school can track it.
Communications: WhatsApp, SMS and email messages, call records, call recordings and AI call transcripts sent or made through the Service.
4. How we use information
- to provide, operate and support the Service for schools, parents, students and staff;
- to send messages the school chooses to send – for example admission confirmations, fee reminders, receipts and absence alerts;
- to show the live location of school buses during trips;
- to respond to demo requests and enquiries, and to manage our Customers' accounts and billing;
- to keep the Service secure, prevent misuse and fix problems;
- to meet legal obligations.
We do not sell personal data, and we do not use students' data for advertising.
5. Children's data
Much of the data in the Service relates to children. Under the DPDP Act, schools are responsible for obtaining verifiable consent from a parent or lawful guardian where required before entering a child's data. School MS does not track children's behaviour for advertising or profiling and processes their data only to provide the Service to their school.
7. How we protect data
We use reasonable security practices as required under Indian law, including encrypted connections (HTTPS), separate data for each school, role-based access so each person sees only what their role allows, single-device sign-in and access logs. No system is completely secure, but we work to protect your data and will notify affected schools and the authorities of a personal data breach as the law requires.
8. How long we keep data
We keep a school's data for as long as the school's account is active and as instructed by the school. When a school ends its subscription, we return or delete its data within a reasonable period, except where we must keep some records by law (for example billing records). Demo-request details are kept while we are in contact and deleted on request.
9. Your rights
Under the DPDP Act you may ask to access, correct, update or erase your personal data, withdraw consent, and nominate another person to exercise your rights. For data held in a school's account, please contact the school; for other data, write to us at info@schoolms.one. You also have the right to raise a complaint with the Data Protection Board of India.
10. Cookies and the website
The schoolms.one website does not use advertising or tracking cookies. It loads fonts from Google Fonts and a small script from a public content delivery network, which may record your IP address as part of normal web requests. The School MS application uses your browser's local storage to keep you signed in.
