Student information system: every student's record in one place
From admission to transfer certificate, School MS keeps each student's details, parents, documents, attendance, fees and results on one profile – searchable in seconds and shared safely with teachers and parents.
Updated
One record per student, used everywhere
In a student information system a student is entered once. The same record drives the attendance sheet, the fee counter, the marks register, the bus list, the hostel room, the ID card and the certificates. Change a parent's mobile number once and every message goes to the new number.
School MS shows the record as a profile with tabs – Overview, Attendance, Fees, Results, History and Documents – and a completeness ring so the office knows which details are still missing.
Profiles start at admission and fill up from daily work: attendance, fees and receipts and exam results and report cards. To see a full student profile, book a free School MS demo.

What a student information system should hold
A student information system is the master record of every child in the school. It should answer, in seconds, the questions the office gets every day: which class and section is this child in, who are the parents and how do we reach them, which documents have we collected, does the child use the bus or hostel, and what is the fee and attendance position?
In School MS each student has one profile with admission and roll numbers (given automatically), class and section, photo, parents and siblings, documents, transport and hostel. Tabs on the same profile show attendance, fees, results, message history and uploaded documents.

Every message, call and note to the family on one timeline.
Keeping student data safe
Student records include children's personal data, so access matters as much as features. In School MS each school's data is kept separate, staff see only the modules their designation allows, teachers reach only their own classes, and parents and students see only their own records in the app.
Indian schools should also keep the Digital Personal Data Protection Act, 2023 in mind: collect what you need, explain why, and limit who can see it. A good student database software makes those rules easy to follow day to day.
Who uses the student information system
Office
Admits students, keeps records and documents up to date and prints ID cards and certificates.
Class teachers
See their own students, parents' contact details, attendance and results.
Accountant
Sees each student's fee plan, payments and balance.
Principal
Sees the whole school, with filters by class, year and fee status.
Parents
See their own child's attendance, fees, results and the school bus in the app.
Students
See their timetable, attendance, assignments and results.
Moving from Excel to a student database
Most schools start with student lists in Excel. A student database software keeps the same information but connects it: the student's class drives attendance and exams, the parent's phone number drives messages, and the fee plan drives receipts and reminders. Once the records are in, nobody has to keep separate lists in sync again.
Student information system – FAQ
What is a student information system (SIS)?
A student information system stores and manages every student's records – personal details, parents, class and roll number, documents, attendance, fees, marks and results – in one place, and gives teachers, the office and parents the right view of them.
What details can we keep for each student?
Name, admission and roll number, class, gender, date of birth, blood group, Aadhaar, nationality, religion, category, mother tongue, place of birth, previous school, address, mobile, email, photo and documents – plus any custom fields your school adds.
Can parents see their child's records?
Yes. Parents see attendance, homework, results, fees and receipts, the timetable and the bus in the app – only for their own children.
Can we print documents from the student record?
Yes – ID cards with QR code, progress cards, bonafide certificates and transfer certificates.
Can I print student ID cards from the student information system?
Yes. School MS works as an ID card generator: print student and staff ID cards with photo, class, blood group and emergency contact, for one student or the whole class at once, straight from the records you already keep.
Can teachers see every student's details?
No. Teachers see the students of their own classes. The office and principal see the whole school, and access for other staff is set by their designation, view-only or with editing.
